Identify what you want to keep or change
A reference photograph may represent a surface, a pattern or a colour family. State which of these you want to preserve. “Keep the texture, explore a cooler grey” is a clearer development request than treating the photograph as an approved colour standard.
Provide an identifiable physical reference when colour approval is required. Confirm the base cloth and proposed colour route with Fred. The same intended colour can read differently with construction, surface and viewing conditions, so the material identity belongs in the approval discussion.
Agree how the samples will be compared
Record the light sources and viewing conditions required by your buyer, as well as the cloth orientation where it matters. Keep sample labels and revision history. A phone screenshot or an unlabelled cutting can be useful inspiration but is difficult to use as the final traceable standard.
Where instrumental measurement or a stated tolerance is required, agree its method and acceptance basis. Do not invent a universal tolerance for every blend and surface. Keep the visual and measured requirements explicit so the development team knows what evidence is needed.
Separate development approval from bulk acceptance
A selected development colour does not automatically approve every production roll. Discuss the next approval stage, sample identity and any roll-level shade grouping needed for cutting. Make clear who is responsible for reviewing the proposed bulk reference.
Save the approved physical standard with the final article and relevant finishing information. If the base, finish or colour plan changes, review what needs reconfirmation. Your enquiry should end with a requested next step, rather than assuming the archived online colour is available unchanged.
